Word Workflow: Citations in Microsoft Word#

In this tutorial you will format citations in OokCite and paste them into Word with correct formatting (italics preserved).

Steps#

1. Format Your Citation#

Follow Format Your First Citation to get a formatted result.

2. Copy with Formatting#

Click Copy formatted (not “Copy text”). This copies rich text to your clipboard that preserves:

  • Italic journal names

  • Bold volume numbers

  • Proper em dashes

3. Paste into Word#

In Word, press Ctrl+V (or Cmd+V on Mac). The citation appears with correct formatting – italics, punctuation, and all.

If you paste and lose formatting, try Paste Special > HTML instead.

4. Copy In-Text#

Click the orange in-text badge (e.g. (Maiman, 1960)) to copy just the in-text marker. Paste it into your text body where you cite the paper.

5. Build Your Reference List#

For a complete reference list:

  1. Use batch mode to format all your references at once

  2. Click Copy all to get all bibliography entries

  3. Paste into a “References” section at the end of your Word document

Tips#

  • Use Copy formatted for the reference list (preserves italics)

  • Use Copy text for the in-text markers (plain text is fine for (Author, Year) or [1])

  • Keep OokCite open in a browser tab alongside Word for quick access
